1. Introduction

Fleet-X ("we", "our", or "us") operates the Fleet-X mobile application and website. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our application and services.

2.1 Information You Provide

  • Account information: Your name and email address when you create an account with an email address and password, Google, or Sign in with Apple. A phone number and profile photo are optional.
  • Business information: Business location names and, if you choose to add them, address and contact details, and the vehicle records you enter (brand, model, year, number plate, condition, features, photos and prices). Only a business name, and a brand and model for each vehicle, are required. Every price is optional.
  • Contacts you add: If you use the address book, the details you choose to record about people you deal with, such as a name and phone number.
  • Team information: Staff member roles and permissions within your business locations.

2.2 Information Collected Automatically

  • Activity within your business: A record of who added, edited or sold vehicles, visible to you and your staff.
  • Technical logs: Our service providers record technical information such as IP address and access times to run and secure the service.
  • We do not use advertising, analytics or tracking tools, and we do not track you across other apps or websites.

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Fleet-X application.
  • Enable you to manage vehicle inventory, team members, and business locations.
  • Facilitate team collaboration through invite codes and shared access.
  • Track activity and maintain audit logs for your business.
  • Improve and personalise your experience.
  • Communicate with you about updates and support.
  • Ensure security and prevent fraud.

4. Data Storage and Security

Your data is stored securely using Google Firebase (Firestore) for structured data and Cloudflare R2 for image storage. We implement industry-standard security measures including:

  • Firestore security rules that restrict data access based on authentication and role-based permissions.
  • Encrypted data transmission via HTTPS/TLS.
  • Authentication by email and password, Google, or Sign in with Apple, with secure token management.
  • Role-based access control (owner/staff) with configurable permissions.

5. Data Sharing

We do not sell, trade, or rent your personal information to third parties. Your data may be shared only in the following circumstances:

  • Within your business: Team members with appropriate permissions can view and manage vehicle data within shared business locations.
  • Service providers: We use Google Firebase and Cloudflare to store and process data. These providers have their own privacy policies governing data handling.
  • Legal requirements: We may disclose information if required by law or in response to valid legal processes.

6. Your Rights

You have the right to:

  • Access: View the personal data we hold about you through your account profile.
  • Update: Modify your name, phone number, and other profile information at any time.
  • Delete: Delete your account in one step in the app (Profile > Danger Zone > Delete Account). This permanently removes your profile, your sign-in, and every business location you own together with its vehicles, photos and records. If you are a staff member, you are removed from the locations you work in. You can also ask us to delete your account by emailing support@getfleetx.com.
  • Data portability: Request a copy of your data by contacting us.

7. Photos and Camera Access

Fleet-X requests access to your device camera and photo library solely for the purpose of capturing and uploading vehicle photos to your inventory. Photos are compressed before upload and stored securely on Cloudflare R2. We do not access or use your photos for any other purpose.

Fleet-X is not intended for use by children under 13 years of age. We do not knowingly collect personal information from children. If we become aware that we have collected data from a child under 13, we will take steps to delete that information promptly.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new policy on this page and updating the "Last updated" date. Your continued use of Fleet-X after changes are posted constitutes your acceptance of the updated policy.
